Cannington Fencing Experts, from enquiry to final invoice in one record.
Cannington Fencing Experts builds residential and commercial fencing in Perth. Each job used to live in four places: leads in one app, quotes and invoices in another, files in Dropbox and crew instructions in WhatsApp. Now it lives in one platform, with every step on the same job record.
The Cannington Fencing Experts operations platform, from enquiry to final invoice. Sample data shown.
The challenge
A fencing job runs through a lot of hands: an enquiry, a site visit, a quote, a deposit, a materials order, a delivery, an installation, then the final invoice. Each of those steps lived in a different tool. To answer a simple question like “has the deposit landed, so can we book the crew?” someone had to check several apps and a group chat. The rules that protect cash flow lived in people’s heads, not in the system.
What we built
- A lead pipeline from the public enquiry form through to a booked site visit
- A site inspector’s view for recording the visit, fence runs and checklist on site
- Quotes that lock once issued. A change creates a new version, so what the client accepted is always on record
- Deposit tax invoices raised from the accepted quote, plus a final invoice that bills the balance and any agreed variations
- Purchasing: materials lists, purchase orders to suppliers, lead times in working days against the WA public holiday calendar
- A crew view on the phone: the next job first, one button per status change they’re allowed to make, and no supplier or unit costs
- A client portal showing each job’s stage, what happens next, quotes, documents, invoices and payments
- A Today dashboard for the office, with one “needs your attention” list ordered by urgency
Rules the database enforces
The business rules are built into the database itself, not left as reminders. No deposit means no install date: the database rejects the booking until the deposit is paid, unless an Administrator records a release that shows who approved it and why. Crews see the job, never the costs. Clients see their own jobs and nothing else.
If a rule protects the money, the database enforces it. Nobody has to remember it.
Built to be trusted
It handles quotes, deposits and invoices, so it’s tested like it. A suite of automated access-control checks proves who can read and change what. Sample jobs from the build plan are reproduced end to end and checked to the cent, GST included.
